Exporting Donor Data from QuickBooks
Launch the QB Exports for Statements Google Sheet and follow the instructions on the "Data" tab.
Donations are recorded as Sales Receipts in QuickBooks and there are certain exceptions that should not result in a tax deduction or a statement:
Some donors make their donations through third party 501(c)3 charity foundations which already provide tax deductible statements. Statements for these donor should be flagged with an 'N' which will cause text indicating that donations should not be reported to the IRS (see row 162 for "Keller Charity Fund" in Figure 2).
Some donors represent entities representing investments or even disparate individuals that should not receive statements. Donors which should not receive statements should be flagged with an 'X' (see row 164 for "Mewbourne Oil Company" in Figure 2).
The Google sheet script will attempt to parse donor names into first names, last names and "familiar" names to use as personal salutations in the generated email statements. If you choose to make specific edits for a donor, you can enter any character in first column of the parsed names to keep the script from overwriting your edits. QuickBooks donor names are personalized because:
QuickBooks donor names represent giving units. Persons with life partners are listed as one donor and we want separate first and last names for email messages.
Life partners may not share a last name.
The "familiar" name is used as an email salutation. If a person prefers to be called by a nickname, you have the opportunity to use their nickname as part of the salutation as in the case of specifying "Fluffy" instead of "Millicent" on row 86 of Figure 2.
