The name tag supplies are in a box in the office supply closet. The box contains:
Label page - Item No. CSNAPSLJ20 (Trying these Avery Glossy Clear Rectangle Labels (1" x 3")
Small white aluminum 1” x 3” plates - Item No. CSNAPSW
Clear plastic lens covers - Item No. 002760
Pressure Sensitive Magnet - Item No. LMAGNET
Locate the clear label page (item 1, above) that you will use.
The labels are laid out in 8 rows by 2 columns. Take note which labels have not been used on the clear label page to determine which label positions you want to have text on the 8 by 2 table on the template document.
Use Window Explorer to the network folder \\FCC-OFFICE2\FCC Name Tags.
Open ”Name Tags List.docx” and record the names of folks getting name tags.
Open ” FCC Name Tags_yymmdd.docx”.
Pulldown the menu “File>Save As” and replace “yymmdd” to match today’s date. DO NOT CHANGE THE ORIGINAL DOCUMENT.
Working on the copied document you will note that it has 8 rows by 2 columns to match the clear label page.
Blank out each table cell that you are NOT GOING TO USE as determined in step 2, above.
Edit the first and last names in the remaining label positions. Try not to change the font and size. The font should be Arial. The first name should be size 22 font while the last name should be size 16 font.
Place the label page you located in step 1, above, into the printer’s “Bypass Tray”, face-down with arrows pointing toward the printer.
On the printer display panel, follow these steps to tell the printer that the bypass tray contains labels:
Touch “Tray Settings”
Touch “Bypass Tray”
Select “Labels”
Touch “OK”
In the Word document:
Pull down “File>Print”
Select the Sharp MFP in the supply room as the printer to use and click on “Printer Properties”
Select “Name Tags” in the Favorites pulldown. If “Name Tags” is not available as an option:
Click on “Paper Source”
Specify “Letter” for Output Size
Specify “Bypass Tray” for Paper Tray
Specify “Labels” for Paper Type
Click on “Save” and give it a Favorites name of “Name Tags”
Click on “OK”
Click “Print”
Take the clear label insert with the printed name out of the page
Slip the label into the lens cover.
Place one end of the name plate into the lens cover.
Push down on the other end and the plate should snap in.
Peel off the paper strip on the magnet and press onto assembly to secure.
