Creating Draft Email

Data from the exported data are incorporated into the text of a template draft email by placing double curly brackets around a variable name derived from the headings from the source tab.

Launch Gmail and compose an email. If an existing draft exists, you would open the template email from the Drafts folder.
Compose the subject and body of the draft email incorporating spreadsheet column headings which are listed below.
Take note of the subject of the draft email and close/save the draft. You will be prompted for this subject text in generating the statements.

After creating the draft email, proceed with Exporting Statement Data from QuickBooks.

Source Data Variables

These are the source data variable names that can be incorporated (see Figure 1) into the draft email text within double curly brackets as in {{variable name}}:

QuickBooks Donor - Donor name as it appears in QuickBooks
Donor - Donor and life partner, as applicable, in "Firstname Lastname" format
First Name - Donor's first name
Last Name - Donor's last name
Partner First - Partner's first name
Partner Last - Partner's last name
Familiar - Familiar name used for email body salutation
HTML Text - HTML representing the Donor Statement. If included in the email body, this will cause a representation of the donor statement to appear in the email body.
Email Address - Donor's Email address
Billing Street - Donor's street address
Billing City - Donor's city
Billing CitywComma - Donor's city (with appended comma)
Billing State - Donor's state
Billing ZIP - Donor's zip code
Billing Country - Donor's country
Current Date - The date on which the donor email and donor statement was created
Date Span - The period covered by the donations on the donor statement
Total Received - Total donations received
Total Pledge - Portion of donations booked as the donor's pledge donations
Total Tithe - Portion of donations booked as tithed donations
Non-Tithe - Portion of donations received that are non-tithe such as designated donations
Annual Pledge - Donor's annual pledge (as applicable)
Donation Text - Sentence text created to based on whether the donor has an annual pledge or not
Msg Method - Donor's preferred method of communication ('EMAIL' or blank will generated emails)
Donor Type - Donor type as coded in QuickBooks
