Preparing the Sunday Bulletin

Note: The URLs referred to below are located in the Worship Shared Drive. Access is managed by having the office administrator add an individual's email address as a shared drive member.

The Sunday Worship Bulletin is accessible to congregants at bulletin.fortworthucc.org which is maintained as a Google site called Sunday Bulletin Doc maintained by the office administrator. The Current Sunday Bulletin is a Google doc in the Worship>Bulletin Google folder. Changes to the bulletin are automatically published behind the scenes to the production HTML version and a PDF version viewed by congregants.

Maintaining the Bulletin Layout

The layout of the Current Sunday Bulletin is typically formatted with all of the text in tables to ensure a consistent web page HTML and PDF presentation. To facilitate editing text within the various tables, the script behind the FCC_Utilities pulldown (see Figure 1) menu lets the user reveal or hide border table borders. In practice, if text is to appear without a border in the published bulletin, then the border color of the table should be purple so they can be readily hidden by running the script provided.

Preparing Upcoming Bulletins

There are usually a number of individuals who contribute to an upcoming Sunday bulletin and as changes to the Current Sunday Bulletin are published immediately and automatically, it is essential that these editors operate on a separate upcoming bulletin document that can subsequently be copied into the production document. The upcoming bulletin documents should be stored in a folder with shared edit access to contributing individuals.

To prepare a document for an upcoming Sunday service:

Navigate to the Worship>Bulletin Google folder
Select Current Sunday Bulletin the with a single left mouse click
Press Ctrl-C to copy the document into the clipboard
Press Ctrl-V to paste a copy of the document
Right-mouse click and rename the copy using the format "Bulletin yy-mm-dd"
Drag the renamed document to the folder named "Upcoming Bulletins"
Notify the contributing individuals that the document is available for them to edit in the Upcoming Bulletins folder

Publishing the Production Sunday Bulletin

Once all of the contributing editors have made their changes to an upcoming bulletin document, you are ready to update the production document to be published.

Open the upcoming bulletin Google doc (e.g. "Bulletin 25-02-23") in the Upcoming Bulletins folder
Press Ctrl-A followed by Ctrl-C to copy all of the contents to the clipboard
Close the upcoming bulletin
Open the Current Sunday Bulletin
Press Ctrl-A followed by Ctrl-V to replace all of the text with the contents of the clipboard
Examine the document and edit as needed

NOTE: It typically takes only a few seconds for Google to automatically publish the changes you make to the production HTML and a PDF versions for congregants to view. It may be helpful to open another browser window showing the HTML version or download the PDF version to see how your changes will be published.

If purple table borders are showing, pull down FCC_Utilities and execute the script to hide purple table borders
Close the Current Sunday Bulletin
Proceed with the steps "Archiving Copies of the Sunday Bulletin", below.

Archiving Copies of the Sunday Bulletin

We try to keep a record of each Sunday's bulletin as a potential resource for items such as graphics pertaining to specific to seasons in the church's liturgical year. Immediately after taking the steps to publish the production Sunday bulletin, follow the steps outlined below to create an archived copy.

Navigate to the subfolder Upcoming Bulletins
Select the document used as a basis for the production bulletin (e.g. "Bulletin 25-02-23") with a single left mouse click
Press Ctrl-X to cut the document from the folder into the clipboard
Navigate to the subfolder Bulletin Archive which is organized by year and month
Open the archive folder for the current month (If a folder does not exist for the current month, create one)
Press Ctrl-V to paste the document from the clipboard into the archive folder
