Mapping Donation Categories to QB Items
A donation corresponds to a QuickBooks Sales Receipt. When a donation is imported into QuickBooks it must have an associated QuickBooks Product (also referred to as an Item) such that the donation amount can be appropriately categorized and posted to the correct General Ledger account. Unfortunately, products are often cryptic. The table depicted in Figure 1 provides a list of more user-friendly and descriptive donation categories that would make better sense.
As needed, such as when a donor explicitly designates their donation to a new program, you may need to add a row to this table. Do not add a donation category unless you are absolutely sure of the necessary mapping and the appropriate QuickBooks Product exists. If there is any question as to the necessary mapping, users will be instructed to use the special category of "Ask Donor" which will post a donation to special account "Ask Accountant". Someone else will subsequently resolve this inside QuickBooks - adding QuickBooks Products and Donation Categories to this table as necessary.
To add a new Donation Category:
Enter a new descriptive donation category into the next available row in the Donation Category column.
Use the dropdown in the Related QB Item column to pick from existing QuickBooks Products.
